Frequently Asked Questions (FAQ)

1. How does the document storage and retrieval process work? For EDMS, Registered Agent and Virtual Address services you will be assigned a private Portal in SharePoint that you will have MFA access to 24/7. You may request documents be sent to you at any time via a delivery method of your choice (shipping costs apply) or by picking them up during business hours. There is in-person customer support Monday - Friday, 9 AM - 5 PM EST (excluding all legal holidays) at (800) 530-9357.

2. Can I cancel my subscription services? Yes, you may cancel your service by providing a 30-day written notice. Annual payments may be refundable after non-discounted rates are applied for months of service already provided. You are responsible to arrange the retrieval of your documents prior to the destruction date which will be the 31st day after we have received your notice of cancellation letter via email to customerservice@onlinedocvault.com.

3. What happens if my payment is not processed on time? Failure to make timely payments may result in the suspension or termination of services. Auto-renewal ensures continuity, so be sure to update your payment information as needed.

4. What is my responsibility as a client? Clients must ensure that their business address and legal status remain up to date, promptly notify Online Doc Vault of any changes, and respond to forwarded documents in a timely manner.

5. What happens if I do not respond to forwarded legal documents? Failure to respond to legal documents forwarded to you may result in legal consequences. Online Doc Vault is not liable for any adverse outcomes due to non-responsiveness.

6. Can I change my contact information after signing up? Yes, but you must notify Online Doc Vault immediately of any changes to ensure proper document forwarding and service compliance. We prefer you send an email to customerservice@onlinedocvault.com and request a read receipt.

7. How do I terminate my service? You must provide 30 days' written notice for termination to customerservice@onlinedocvault.com. The date received will be the start of the 30-day countdown period. Retrieve your documents prior to the 31st day of notification as we will destroy all remaining documents.

8. What are my responsibilities for the cancellation of Virtual Address services? Upon the 30-day termination date, we will no longer forward, hold, or retain mail received for you, and all received mail will be shredded. USPS does not allow change-of-address requests from a virtual address provider.  You should update your address information with all contacts, postal service and etcetera at the same time as you send your 30-day cancelation of service to us.

9. What security measures are in place for my documents? We use industry-standard encryption, multi-factor authentication, and role-based access control to protect your documents. All access is logged for accountability, and secure backups ensure data integrity.

10. Can Online Doc Vault refuse to notarize a document? Yes, we reserve the right to refuse notarization if documents are incomplete, appear fraudulent, or fail to meet legal requirements.

12. Will my document data be kept on the commerce website?  No, to ensure efficient processing and maintain the integrity of your project, we will be handling your work on a dedicated platforms, distinct from our main commerce website. 

13. Do I have to have a business to use your services?  No, if you want to use our services all you have to do is comply with all the client requirements associated with the service.
